Lead Recovery

Stop losing the leads you already paid for.

Your next customer could be calling while your team is busy, submitting a form after hours or waiting for someone to respond.

Megabite connects your phone, website, messaging and calendar so new enquiries can receive an immediate response, provide the information you need and book the next step—even when nobody is available.

No generic sales demo. We’ll use your own lead volume, close rate and customer value to establish whether the problem is commercially worth fixing.

The gap

A CRM can record the missed call. It cannot stop the customer calling the next company.

Businesses invest in websites, advertising, directories, referrals and sales teams to generate enquiries. But when the telephone is unanswered, a form waits in an inbox or follow-up depends on somebody being free, valuable opportunities can disappear before the sales process has properly started.

What happens now

The enquiry waits for someone to be free

  • Calls reach voicemail when the team is busy
  • Evening and weekend enquiries wait until the next working day
  • Website forms send a notification but do not move the customer forward
  • Staff repeatedly call prospects who are unavailable
  • Useful information is collected manually
  • Booking depends on back-and-forth communication
  • Leads are recorded but not consistently progressed

Few businesses have all of these. Most recognise two or three.

What changes

The enquiry keeps moving without waiting

  • New enquiries receive an immediate response
  • Missed callers can be contacted automatically
  • Customers provide key information before staff become involved
  • Suitable prospects can book directly into the calendar
  • Urgent or valuable enquiries can be escalated immediately
  • The CRM remains updated without duplicate administration
  • The team focuses on qualified conversations rather than chasing every response

The workflow is selected around the gap that is actually costing money.

You currently get a missed enquiry.

We help turn it into a qualified conversation or booked appointment.

The aim is not to replace your team. It is to cover the gaps around them—busy periods, missed calls, evenings, weekends, delayed web responses and repetitive qualification.

One connected response

From first contact to the next commercial step.

Lead Recovery is a workflow, not a product. The channels stay the same. What changes is what happens in the minutes after an enquiry arrives.

Each stage is only built where it earns its place. A business losing evening calls needs something different from one losing web enquiries to slow follow-up.

Book the Lead Recovery Review

  1. Capture every channelIncoming and missed telephone calls, website forms, WhatsApp or SMS, booking enquiries and selected advertising or lead platforms. Keep the channels customers already use. Megabite improves what happens after the enquiry arrives.
  2. Respond immediatelyLive or automated call answering, an immediate callback, an SMS or WhatsApp acknowledgement, confirmation that the enquiry has been received, a clear expected response time and a link to continue or book. Not every business needs an AI voice agent. The intervention should be only as sophisticated as the commercial problem requires.
  3. Qualify and routeCollect the service needed, location or service area, urgency, budget or project range where appropriate, preferred date and any business-specific criteria before the team becomes involved. Suitable enquiries can be assigned, escalated or handed to a person immediately.
  4. Book and recordShow appropriate calendar availability, book the next call, survey, consultation or appointment, send confirmations and reminders, update the existing CRM or lead pipeline where integration access permits, and notify the correct person with the relevant context.
Built around the actual gap

Start with the leakage. Add only what earns its place.

These are the components an implementation can draw on. Most businesses need a few of them, not all of them—the Lead Recovery Review establishes which.

Missed-call recovery

Automatically respond when a call is not answered and provide a clear route to continue.

24/7 call coverage

Answer common enquiries, collect information and book suitable next steps outside normal working hours.

Immediate web-lead response

Trigger an SMS, WhatsApp message, email or callback as soon as a qualified form is submitted.

Smarter website forms

Change questions based on the service selected and collect the information the sales team actually needs.

Lead qualification

Apply the company’s own criteria before routing an enquiry or offering an appointment.

Calendar booking

Allow suitable prospects to book directly into the appropriate person’s live availability.

Human handover

Escalate urgent, complex or high-value enquiries to a staff member with the context already collected.

CRM and pipeline updates

Create or update the lead record without requiring staff to re-enter the same information.

Follow-up workflows

Continue appropriate contact when a prospect does not book, answer or complete the next step.

Reporting and visibility

Track enquiry sources, missed calls, response activity, appointments and recovery outcomes where the available systems support it.

Use your own figures

What could missed leads be costing you?

Enter the figures you use inside your own business. The calculator does not predict guaranteed revenue. It shows the potential commercial value of the gap using the assumptions you provide.

Enter your three figures to see the potential value of the gap.

Megabite does not need to recover every missed opportunity for the intervention to become commercially valuable. The Lead Recovery Review establishes the current process, uses your own figures and identifies the smallest credible way to improve it.

The next step

A 20-minute commercial review—not a generic software demo.

We will look at how enquiries currently enter the business, where potential customers may be lost and what those opportunities are worth using the figures you provide.

You will leave with a clear view of the potential revenue gap, the parts of the process worth improving and whether Megabite is the right partner to implement it.

If the opportunity is too small, the current process is already strong or the available systems make the intervention impractical, we will say so.

  1. Where new enquiries currently come fromPhone, website, messaging, referrals, directories and paid campaigns.
  2. What happens when nobody responds immediatelyThe real path a missed call or after-hours form takes today.
  3. The number of opportunities potentially being missed or delayedUsing whatever call, form and pipeline data is available.
  4. Your normal close rate and average customer valueYour figures, not industry averages.
  5. Whether a practical recovery system would make commercial senseIncluding an honest answer when it would not.
Integrate before replacing

Keep the systems that already work.

Lead Recovery should normally sit across the company’s existing phone, website, calendar, CRM and communications—not force the business into an unnecessary replacement project. Where the surrounding connections matter, this becomes a systems integration question.

  • Business telephone systems
  • Website and form platforms
  • Calendars and appointment software
  • CRM and lead pipelines
  • Email
  • SMS
  • WhatsApp Business
  • Internal notifications
  • Reporting tools

Integration depends on the access, APIs and restrictions of each provider. Megabite checks feasibility before promising a connection.

Commercial fit

Best suited to businesses where one good enquiry has meaningful value.

Lead Recovery is not suitable for every business. Where enquiry volume is low, margins are thin or response speed has little effect on conversion, the intervention is unlikely to justify itself.

Most commercially useful where

The conditions make recovery worth the build

  • New customers have meaningful transaction or lifetime value
  • The business already generates regular enquiries
  • Response speed affects conversion
  • Calls or forms arrive outside normal working hours
  • Staff time is being consumed by repetitive qualification and booking
How it is delivered

A focused intervention, not a major transformation programme.

A Lead Recovery implementation may be delivered as a Megabite Focused Fix or as part of a larger systems engagement, depending on the number of channels, integrations and business rules involved.

Focused implementation

Configure and connect the selected call, messaging, form, qualification and booking workflow.

Common questions

Before you book the review.

Lead Recovery draws on workflow automation and, where it genuinely helps, controlled AI automation. Neither is the point. The commercial result is.

Is this just an AI receptionist?

No. AI call handling may be appropriate, but the service can also use missed-call messaging, smart forms, immediate callbacks, WhatsApp, SMS, calendar booking and human handover. The workflow is chosen around the actual commercial gap.

Will this replace our receptionist or sales team?

Usually not. The purpose is to cover missed calls, busy periods, out-of-hours enquiries and repetitive qualification so the existing team can focus on useful customer conversations.

We already have a CRM. Why would we need this?

A CRM can record and organise an enquiry. Lead Recovery improves what happens before and around that record: immediate response, qualification, booking, routing and follow-up.

Can it work with our current telephone number and systems?

Often, but this depends on the telephone provider, platform access, APIs and existing setup. Megabite checks feasibility before recommending the implementation.

Does every caller have to speak to AI?

No. The customer journey could use a person, an automated callback, SMS, WhatsApp, a smart form or direct booking. Voice AI is optional.

Can it cover evenings and weekends?

Yes, where the selected telephone, messaging and booking setup supports it. The workflow can collect information, answer agreed questions, book appointments or set expectations until the team is available.

Does this guarantee more revenue?

No. The service improves response and recovery opportunities; it cannot guarantee customer behaviour or sales outcomes. The financial calculation uses the company’s own assumptions to establish whether the opportunity is worth pursuing.

How quickly can it be implemented?

This depends on the channels, providers, integrations, access and business rules involved. The Lead Recovery Review establishes the sensible scope and next step.
